Civil Engineering majors must file a Major Form with their academic advisors 15 months prior to the date of their graduation. The purpose of this early filing is twofold: a. b. To provide a basis for proper academic advisement by forcing an evaluation of the students prior work at the beginning of the senior year or at the end of the junior year. To ensure that the student can make steady and direct progress toward graduation and avoid costly, needless delays that could otherwise result. DEADLINES: Deadlines are posted outside the CE office. They are strictly enforced. BULLETIN: 2. Since successive SJSU bulletins often list different graduation requirements, Civil Engineering students should consult with their academic advisors to choose the bulletin under which they intend to graduate. In general, this will be the bulletin in existence at the time the student started his/her program, either at SJSU or the community college. The student may choose the bulletin which is in effect when he/she graduates if this choice has any advantages for him/her. Whatever bulletin is selected, all of the requirements of that bulletin must be met. A student may graduate under a newer bulletin and yet satisfy the general education requirements in effect at the time he/she started. General education information and counseling are available from the Assessment Center (SSC) and from your academic advisor. TRANSCRIPTS: 3. A copy of all transcripts from schools other than SJSU must be attached to the completed Major Form when submitted to the department. If a student has personally delivered copies of all such transcripts to the Civil Engineering Department Office then a signed statement to this effect can be attached to the completed Major Form in lieu of the transcripts. TRANSFER OF COURSES FROM FOREIGN, OUT-OF-STATE OR NON-ACCREDITED SCHOOLS: 4. If any courses to be counted toward the major or in preparation for the major have been taken in foreign, out-of-state or nonaccredited schools, then a Equivalency Form signed by appropriate department representatives must be attached to the completed Major Form. FEES: 5. An "Application for Graduation" form must be submitted to the department with the Major Form. There is no fee as of Fall 2003. CHANGE OF GRADUATION DATE: 6. Graduation dates can be changed by petition. If it is found that the original target date for graduation cannot be met, a petition may be submitted to have the date changed. The graduation clerks office must be notified of this change. This requires a fee of approximately $10.00 which must be paid to the cashiers office. If graduation is to be moved up, the change must be submitted approximately one year before the new date, or in no case less than one full semester before the new anticipated date. SPECIFIC INFORMATION FOR FILLING OUT FORMS: 1. 2. 8. 9. The Major Form is available on the internet at: www.engr.sjsu.edu/civil/departmentinfo/downloads.htm. 2. All required departmental courses are already printed on the form. Simply show the grade or grades earned in each course in the appropriate column. Courses to be completed should be left BLANK. 3. If your advisor has approved transfer credit for specific requirements, draw a line through the original requirement and enter the substitute course, (course number, title, units, quarter or semester), grade beneath it exactly the way it appears on your transcript. Additionally, in the left hand margin, write the initials of the name of the school where the substitute course was taken, so that evaluators can match this with the appropriate attached transcript. Do not convert from quarter units to semester units. 4. Note that only the specific electives chosen by you and approved by your advisor will be entered in the technical electives section of your major form. Additional electives are not counted and will not affect your major GPA. 5. Using the attached sample as a model, fill out the work sheet to the best of your ability. Make an appointment with your academic advisor to review it. 6. After your advisor has approved your program, carefully type in the electronic file all information. Major forms with misspelled words or substantial corrections will not be accepted. (See attached instructions for using the electronic file) 7. Take the completed forms to your advisor for his/her final approval. Your advisor will sign them and forward them to your department chairman for his/her approval. You must attach your "Application for Graduation" to your Major Form with a receipt that you have paid the graduation fee. Your Major Form will be forwarded to the College of Engineering for further review. The College of Engineering then will then hand carry the Major Form to the Admissions & Records. The CEE Office E-mails the students whose major forms have been approved and were taken to Admissions & Records. One copy will be retained in the student's file in the Department Office, and the student's copy will remain in the Civil Engineering office for the student to retrieve. 10. Changes to approved major forms can be initiated by completing a Substitution of Course in Major Form starting with the departmental advisor. These forms can be obtained at departmental office. IMPORTANT FINAL STEP: 11. The graduation clerk will mail to the student a final check list which will show exactly which courses in the major and general education remain to be completed before graduation can be achieved. It is the students responsibility to verify these courses and bring to the attention of his/her advisor any discrepancies that appear on the checklist.
