Student MSUM Activity Budget Committee Meeting Minutes 3/18/08 Attendance: Angela Boser, Steph Morse, Heath Butrum, Tony (proxy), Mikal Kern, Alex Ellsworth (proxy), Jered Weber, Kurt Reuther, Sandy Schob I. II. III. Approval of Meeting Minutes Move to approve 3/11/08 minutes as read (Steph, Mikal). Motion passes. SABC Reserve Amounts General Reserve - $ 133,214.86 Academic Reserve - $ 9,719.91 Post Season Reserve - $ 8,000.00 Requests CAB- Travel tabled from 3/11/08. Needed an updated expense estimate sheet. Beverly Lahlum presenting. New sheet was submitted to Angela morning of the SABC meeting and she did not have time to look at it before the meeting. The amount from President Barden $1000.00 (Sandy didn t get the email from Barden until right before the SABC meeting) will cover the new estimated expense need of $890.27. Motion to fund $0.00 (Jered, Mikal) Speak to motion: since they have been allocated more than their net request, SABC can fund $0.00 and CAB still receives what they are asking for; it just comes from another source. Move to a vote. Motion passes to fund $0.00. MEISA- Travel request for net of $4,286.04. Deducting $1500 Barden, $400 Midgarden for a final net presented to SABC of $2,386.04. Ben J. presenting. A chance to learn the ins and outs of music industry and becoming educators in music and entertainment industry. Bus amount is round trip for shuttles between hotels and airports. Private vehicle is for carpooling to Minneapolis to catch a flight. Motion to enter executive session (Mikal, Jered). Motion passes. as proposed. Discussion: Mikal suggest $2,074.00 for registration, bus and private vehicle. Barden is covering lodging. Move to exit executive session (Alex, Jered) Motion to allocate $2,074.00 to be used for bus and private vehicle and/or registration expenses (Mikal, Jered). Move to a vote. Motion passes to fund $2,074. Sociology Club Travel Funding Request for $2,894. Liz Johannsen and Lindsey Berkenheier presenting. Received $750 Barden, $300 Midgarden, and $300 Jeppson for a net request to SABC of $1,544.00. This is an academic reserve request so SABC can fund a maximum of $1,447.00. Move to enter executive session (Alex, Jered). Motion passes. Discussion: Since we can fund up to $1,447.00 that would leave about $100 plus per student to fund on their own. If SABC fund $1447.00 and adds it to the amounts from the other funding sources, that total $4797.00 which is just of short the estimated expenses they have presented us today. If we fund $1320.00, that leaves each student to fund $74.66 on their own. That seems very reasonable to ask. Move to exit executive session (Jered, Mikal) motion passes with one abstention. Motion to allocate $1,320.00 from academic reserve (Mikal, Jered) Discussion: we took airfare and registration and paid that from this allocation. The food and cab fare students will need to pay on their own. Move to a vote. Motion passes to fund $1,320.00 for airfare, registration. Men s Lacrosse- Travel funding request for $1,426.54. They received $700 from Barden so the net request to SABC is $726.54. This is the Iowa trip that includes tourney play and 2 mandatory league games. We have 4 rooms for the 15 guys on the trip. One school van and a private oversize vehicle. Motion to allocate $726.54 (Jered, Heath) Discussion: they seem to have cut costs by not requesting meal money and putting a lot of players in one room. Move to a vote. Motion passes to fund $726.54. Elicia Hay- Travel funding request. Academic reserve request. SABC can fund up to $555.72. Motion to allocate $452.40(Alex, Jered) Discussion: Our maximum of $555.72 less cost of meal subsidy which calculates to $452.40. Move to a vote. Motion passes to fund $452.40 from academic reserve. IV. Dramatics account change to Grant account: This was a topic tabled from previous meeting(s). Because of the current and historic deficit balance(s) in the Dramatics account, the Activities Business Manager and Chair had previously discussed putting this on the agenda for consideration. Chair of SABC handed out the Grant (lump sum) Funding criteria which were established by SABC in 2005. Each item of the criteria was met by Dramatics activity account. Motion to change the Dramatics account to a lump sum-funded account for fiscal year 2009 and forward (Jered, Mikal) Discussion: it is obvious that Dramatics meets all the criteria established for Grant Funding and so it seems like a natural progression for allocation of funds in FY09. This does not affect the amount that SABC funds to Dramatics, only that Dramatics must establish an account separate from an activity account in which to hold SABC allocated funds. Move to a vote. Motion carries to allocate FY 2009 activity fee funds and any future activity fee budget funds to Dramatics in a lump sum amount. 1 abstention. Move to adjourn (Mikal, Steph) Unanimous consent. 4:55pm.
