Summary The ease with which email and other electronic documents can be potentially deleted leads many in the business world to forget that there are rules governing document retention, destruction and format- neutral, this involves weather the document is electronic, or in paper form. The destruction of document may also involve shredding, a push of a button or any other form, which is very critical to any institution facing litigation or lawsuit. Purpose Federal and criminal law governs the preservation of both electronic and hard copy of documents. At the moment the duty to preserve document is triggered the said business is required to suspend all business proceedings. The purpose of this Policy is to ensure that necessary records and documents of are adequately protected and maintained and to ensure that records that are no longer needed by Premier College or are of no value are discarded at the proper time. This Policy is also for the purpose of assisting employees of Premier College to understand their obligations in retaining electronic documents which includes e-mail, Web files, text files, sound and movie files, PDF documents, and all Microsoft Office or other formatted files. Policy Statement The institution has a legal obligation to preserve evidence and records which involves electronic documents and other hard copy documents that may be relevant to a pending or litigation or law suit. This Policy represents the Premier College’s policy regarding the retention and disposal of records as well as the retention and disposal of electronic documents.
