TECHNICAL WRITING ENGL 3153 Scott Hale Formatting Memos Differences between memo and letter format: Memos within or between departments in the same company very occasionally between two companies Letters between two companies more formal than memos Memo Format: Memo formats vary widely between companies. This is the one we will use, and it is a standard one to utilize. All margins, top and sides and bottom, are 1 ¼” Center and use all caps for “MEMO” Left margin should line up The entries after “date” and “to” and all others should line up—tab over so that they line up vertically The date line can read: Monday, January 19, 1998 January 19, 1998 Monday, 19 January 1998 19 January 1998 Subject line should be in all caps: it is like the title of the memo and should be concise, clear, and complete Single-space the text MEMO (two blank lines) Date: 19 January 19xx ( one blank line between entries) To: Mr./Ms./Dr. Recipient’s Name ( single-space entries) Recipient’s Title From: Writer of Message
