Project Charter Template Project Name: Cambrian Winter Carnival Prepared by: Jonathon Johnson, Katherine Kline, Renée Laplante, Stéphanie Lagrandeur, Yanick Lachance Date: February 13, 2018 Initiation: Renée Laplante has been designated by team members to manage the Winter Carnival project. Synopsis: Our goal is to organize and create a positive image of Cambrian College and a fun day for the local grade 11 students by setting up a carnival during the winter within a $5000 budget. Purpose/Business Need: We are planning, organizing and running a one-day Winter Carnival involving Grade 11 high school students during the Cambrian College Winter Break in March 2019 in order to help entice students to choose Cambrian College and their post-secondary education. Product Description and Deliverables: The Cambrian Winter Carnival will organize and implement many different activities such as; snow sculptures, snowball toss, boot hockey, sliding, face painting, igloo building, baking, food services (hot dog/drinks) and more, with the objective of creating a fun and positive environment for the guests. Furthermore, we will be organizing and scheduling tours of the building to familiarize our guests with their potential future school. Deliverables: The purchase of all materials (paint, toboggans, sculpting tools, food coloring, food…) The information and knowledge provided to guests about the school/courses. The positive experience gained from the guests. Project Management: Renée Laplante is the assigned project manager and is responsible for overseeing the performance of the project as well as be in contact with the contractor. Assumptions, Constraints, Risks: Assumptions : Organization, good advertisement, attendance of majority of local grade 11 students, safety Constraints : Budget deficit, Bad weather, low attendance rate, Risks : Bad weather, Equipment malfunction, Resources: Available Material/Resources : Paint, Hockey Sticks/Nets, Building, Kitchen Required Material : Toboggans, Sculpting Tools, Food Coloring, Food Personnel : Minimum one worker/supervisor per activity/service Financial Resources : Maximum budget of $5000. Approach: - Ensuring all events are well coordinated in correlation with the set schedule - Develop a detailed cost estimate - Issue a request for sponsors - Purchase necessary materials - Ensuring consistent communication between the project manager and the performing organizing team manager - Plan a project that can be approved by senior management Communication and Reporting: The project manager must keep contact with the contractor in any way (telephone, in-person) but must keep an email paper trail before or after each discussion or agreement.
