The 3P’s in Practice: 1. What is the purpose of this meeting and why is this necessary? The purpose of this meeting is to obtain input from customer service associates to decide if any changes need to be made to the current ‘frequently asked questions’ on the Customer Support page of the website. Input could be gathered over email also, but a meeting is necessary to facilitate exchange of information between the associates as well. We have learned that emails tend to cause fights, and it would be more fruitful for everyone to come together and have equal inputs in deciding whether changes need to be made to the Customer Support page. 2. What is the best format for the meeting (in person, teleconference, online, or videoconference)? Why is this format the best choice? In my opinion, an in-person meeting is the best option if all parties involved are at the same physical location. In-person communication is the most efficient way to exchange ideas since it allows everyone to be in the same room and connect more personally. But if physical locations are not the same I would prefer a videoconference. 3. What will you include in the meeting agenda? How can you make sure the agenda is detailed enough? I would include a background for the meeting, the data that I currently possess about the questions that are asked most frequently, and a call to action for associates to prepare a set of questions that they are asked most frequently over email and chat. To make sure that the agenda is detailed enough, I would make sure I have explicitly mentioned a goal for the meeting, and what I require from the meeting attendees during the meeting. I would also include the date and time for the meeting. 4. How can you inspire associates to come to the meeting prepared? I would encourage participation by making sure all the associates understand that their input is equally valuable. The frequently asked questions are constantly updated based on the trend in questions from customers, and I will ensure that the associates understand that what they bring to the meeting will be critical in determining whether the Customer Support page needs to be updated at this time.
