The Director will assist you to mould that brilliant idea of enhancing Student Development. The existing Clubs and Associations were formed by students to address the following benefits: Personal Social Recreational Religious There are many groups that you can join rather than forming completely new organizations. Combining talents, ideas, resources and enthusiasm makes more sense than forming something new. HOW DO YOU START? A process has to be followed to form a Club or an Association at CUT An application letter has to be submitted to the SRC and the Director of Campus Life(registration form to be supplied) The proposed group’s constitution and By-Laws with the structure and membership A list of the Interim/Organising Committee (not the actual committee) The name of the Faculty Advisor The Organising Committee will need to produce the following information to be accompanied by the above requirements: Purpose of the club Vision Objectives After the submission of the above receive a letter of registration from the SRC and the Director of Campus Life 1

Do not start to operate as a club before receiving that letter from these two offices SECTION 2: CONSTITUTION AND BY-LAWS IMPORTANCE OF A CONSTITUTION Clarifies the purpose, basic structure and vision of the club Allows the potential members to understand the club better WHAT SHOULD BE COVERED IN THE CONSTITUTION? Article 1 The name of the organization Article 11 Affiliation with other groups Article 111 Purpose, main function of the organization Article 1V Membership requirements Article V Offices (titles, terms of office, how and when elected) Article V1 Advisor (term of service, how selected) Article V11 Meetings (frequency, special meetings and who calls them) Article V111 Qourum Article 1X Referendum and Recall (Procedures and Handling) Article X Amendments (means of proposal, notice required, voting) Article X1 Ratifications (requirements for adopting this constitution) BY-LAWS Assist in the conducting of business of the club in a professional manner Can be changed easily as compared to the constitution WHY HAVE BY-LAWS? By-Laws should not contradict provisions in the constitution. They generally contain specific information on the following topics: A Memberships (selection requirements, resignations, expulsions, rights and duties) B Dues (amount and collection procedures, any special fees) C Duties of officers (powers, responsibilities, specific job descriptions, procedures for filling unexpired terms of office, removal from office) D Executive Board (Structure, composition, powers) E
