Xiwen Lu 20459574 F15 Co-Op Work Term Reflection – Written Communication 1. Background In the past fall 2015 work term, I worked as a Financial Analyst in the I&IT cluster of the Ministry of Children, Youth and Social Services. My role is to support a team of six senior financial analysts in regards to assignments such as financial reporting and budgeting as well as administrative duties. Our team, as the financial management department, work to serve the ministry who we considered as clients. As a result, I had the opportunity to not only work with accounting and finance personals but also with technical professionals. In the second half of the work term, I accomplished a six-month planning blueprint for the financial management team as well as several summative expenditure reports for clients. 2. Benchmarking Your Written Communication Skills The two aspects of my written communication that I would like to work on are grammars and clarity. In my personal opinion, grammars could be hugely improved by techniques such as proofreading. The problems that I had in regards to grammars are that I often skip this critical step of proofreading because I was too eager to send out the message. The SMART plan that I designed for myself to decrease grammars mistakes in my writing is to always allocate enough time to proofread my work. My goal was to limit the grammars mistakes per 100 words under two in any writing that I do including my PD assignments, work related emails and casual messages. To explain my approach more specifically, I made sure that for every piece that I write, five minutes will be allocated to proofreading for short paragraphs and ten for longer paragraphs. I would even ask a peer or senior college to review my work if the texts are going to be sent out to an outside party in order to maintain the professionalism of my team. To more efficiently utilize the time that I put into proofreading, I would also check for appropriate tone, clarity, conciseness and coherence, which I will discuss in more detail when I talk about the other area that I would like to improve my written communication. After about two weeks, I had seen significant improvements in my writing. For instance, my PD assignments used to receive comments suggesting improvements about my grammar all the time. However, ever since I started proofreading, I only received one feedback about my grammar mistakes for my PD assignments. Based on the results that I have experienced, I am confident to say that I have definitely met my specific goal of improving my grammar in a timely manner. My goal was very specific and attainable which motivated me to work hard towards that goal. The measuring of how many mistakes per 100 words is rather unrealistic to execute in real life but I though the feedbacks from the graders of my PD course are sufficient enough to show my progress.
