The guidelines to keep in mind when hosting and or participating in meetings over a distance are:  develop rapport with your colleagues by using fun … but do not exaggerate build rapport by starting the meetings with informal discussions … but know when to stop get to the point: avoid spending too much time telling stories and providing detailed background think about the audience: avoid starting detailed discussions with senior managers know the audience: when the attendees are not responsible for strategies and decisions, cover these topics  in a separate meeting accept the different opinions, behaviors and values motivated by the variety of personalities and cultures,  learn from the differences respect the personal time: confirm with the audience their preferred times for meetings outside office hours, when the participants are in different time zones The project information is stored in a series of documents, tables, charts and databases prepared during project
