Explain what each means: - A formal meeting: A pre-planned gathering of two or more people who have assembled for the purpose of achieving a common goal through verbal interaction. Formal meetings are held at a specific time, at a defined place and typically lead by a chairperson with the discussions and agreements recorded in a written form known as minutes. - An ad hoc meeting: Action taken for a particular reason or in a special situation, such as an ad hoc committee formed to consider a specific, urgent matter. - Minutes: The instant written record of a meeting or hearing. They typically describe the events of the meeting and may include a list of attendees, a statement of the issues considered by the participants, and related responses or decisions for the issues. - Agenda: A list of meeting activities in the order in which they are to be taken up, beginning with the call to order and ending with adjournment. - Reports: A document contains information organized, refers to specific periods, events, occurrences, or subjects, and may be communicated or presented in oral or written form. - Chairperson or chair: the person who leads a meeting, organization, committee, or event - Minute taker: is the person responsible for preparing the Minutes of Meeting.
