Although not much in the way of writing the message is involved in the first phase, it's critical to the writing process. There are several ways to collect data through informal methods. A few easy methods to gather information would be: a. Look through the files. If you happen to be responding to inquiries about a particular company, answers can often be found in the files of the company or colleagues b. . Talking to your boss. More than likely, if you're told to do a report, your boss knows a small tidbit about it. It never hurts to ask your boss what they may know about that particular topic and if they might suggest a source to check out. c. Brainstorm for ideas. A small group can come up with hundreds of ideas, regardless of how good or bad they may appear. It's a nonjudgmental group
