2 Assessment 2 PART A – Written Assessment 1. Outline the role of a chairperson. Chairperson is the person who conducts the meeting. Literally, he/she sits on the narrowest part of the table and helps keeping all members focused on the main purpose of the meeting, following the agenda, controlling the duration, avoiding disagreements, giving possible solutions and the follow up and closing the meeting with the summary about what happened and what is about to happen (next steps, next meeting, etc). 2. Choose a meeting relevant to your own organization and outline its purpose. The meeting chosen is the Project Team Meeting, because it is a regular meeting where is treated all steps of the projects (issues, evolutions, conclusions, etc.). Purpose: To follow the schedule, to reviews plans, to resolve issues, to discuss tasks, assignments, action plans, next steps, to update status, to get approvals, etc. Structure: It happens weekly, every Tuesdays around 10:30am. The duration is about 1 hour, depending of the tasks treated. The confirmation of the meeting is by e-mails where each participant needs to confirm your presence to the chairperson. Style: This meeting is face to face, inside a meeting room in the company, and it may have presentations, slides, videos, etc.
