In this context, having a project communication plan is essential to increase the chances of a successful initiative. The project communication plan has the function of identifying the communicative needs of the interested parties and defining the most appropriate way for its distribution to occur. These requirements need to be documented and properly worked with your employees. When communication is done properly, the right information reaches the right professional. With this, it is possible to reduce the noise, that is, the errors in the transmission of the messages, also reducing the errors in the accomplishment of the project and, consequently, increasing the productivity in each task. The Communications Management Plan will aim to define the communication requirements for the project as well as the information will be distributed. The Communications Management Plan will be defined as follows: • What information will be communicated. • How the information will be communicated. • When information will be distributed. • Who is responsible for communicating project information. • Communication requirements for all project stakeholders. • Plans and actions for collection, presentation, propagation, frequency and periodicity 2- Audience The communication management plan should reach all stakeholders, reaching members of all different layers of participation: Project Portfolio Board Members Project Manager Change Authority Members Project Assurance Members Project Teams Members Project Support Members externally positioned stakeholders: All suppliers 3.
