1 Process Decision Data Informatio Action Fig: Conversion of Data into Action Database Management System Data: Data are raw facts that constitute building block of information. Data are the heart of the DBMS. It is to be noted that all the data will not convey useful information. Information: Information” refers to the meaning of that data as understood by some user. Actually the terms “data” and “information” are treated as synonymous. Example (Data & Information): attributes: Name Age Matric no. Tasnim 3.5 years C0431001 Information Data Database: o A database system is basically just a computerized record-keeping system. o The database itself can be regarded as a king of electronic filing cabinet; i.e., it is container for a collection of computerized data files. o Examples of database are library information system, bus, railway, and airline reservation system, etc. Advantages of Database System: 1. Control of data redundancy: the database approach attempts to eliminate the redundancy by integrating the files so that several copies of the same data are not stored. 2. Sharing of data: the database belongs to the entire organization and can be shared by all authorized users. Easy PDF Creator is professional software to create PDF. 2 3. Efficient data access: A DBMS utilizes a variety of sophisticated techniques to store and retrieve data efficiently. 4. Query ability: Querying (using querying language) is the process of requesting attribute information from various perspectives and combinations of factors. Example: "How many 2-door cars in Texas are green?" 5. Data integrity: If data is always accessed through the DBMS, the DBMS can enforce integrity constraints on the data. For example, before inserting salary information for an employee, the DBMS can check that the department budget is not exceeded. 6. Backup: Copies of attributes need to be made regularly in case primary disks or other equipment fails. A periodic copy of attributes may also be created for a distant organization that cannot readily access the original. 7. Data administration: When several users share the data, centralizing the administration of data can offer significant improvements. 8. Concurrent: A DBMS schedules concurrent accesses to the data in such a manner that users can think of the data as being accessed by only one user at a time. 9. Security: Often it is desirable to limit who can see or change which attributes or groups of attributes. This may be managed directly by individual, or by the assignment of individuals and privileges to groups. Disadvantages of Database System: 1. Complexity: the DBMS software is complex for user to use. 2. Size of DBMS: the DBMS an extremely large piece of software, occupying many megabytes of disk space and requiring substantial amounts of memory to run efficiently.
