How can they know which version of a document is the most current? How can they share content among their peers, or merge their work? How can they ensure their content is protected, backed-up, and always accessible? Those are the kinds of problems that content management systems solve. Content management refers to the coordination of human and automated activities to manage content throughout its life cycle, from development to distribution to live, or production, environments. At various points in its life cycle, content might be edited, enhanced, categorized, versioned, reviewed, integrated, archived, or distributed. Many contributors throughout the enterprise might handle content in different phases of that life cycle. A content management system describes, automates, and manages the activities of each phase of the content life cycle. ContentCenter Professional is your entry point to the content management platform. To use ContentCenter Professional effectively you should be familiar with the following key concepts: l Development structure. Provides a framework for handling different aspects of content development. l User management. Determines a user’s access to features. l Version management. Preserves a file’s revision history. l Task management. Describes and automates business practices. l Content template. Determines the appearance of content and controls the content creation process. l Tags. Categorize content so that it can be easily retrieved or used by applications. l Deployment. Publishes content to external environments or systems. Scenario Pat works in the Marketing department of a large enterprise and must create a press release. Pat authors the press release according to a standard format and gives the document to his supervisor, ContentCenter Professional (16.3) Page 16 of 297 ContentCenter Professional User Guide Chapter 1: Understanding Content Management Chris, for approval. Chris requests a revision. Pat revises the press release then submits the revision to Chris for review. The revision is approved and released to the production environment. A content management system might aid the process by: l Providing a workflow to ensure Pat’s work goes through the review processes his organization requires. l Automatically notifying Pat and Chris of new tasks. l Providing Pat with a press release template to fill out. l l l Providing templates that control the appearance of the content when it is presented in a production environment. Saving a record of each version of the press release so that Pat can restore a previous version if necessary. Protecting the system and its contents from users who do not have access. Key ContentCenter Professional Terms There are several terms and concepts that you should understand as you work with ContentCenter Professional: l Conflicts. Occur during Submit and Get Latest operations when: l l l l (Submit) The workarea contains modified content and the corresponding staging area content has changed since the last Get Latest operation was performed on the location where the Submit operation is taking place. (Get Latest) The workarea contains modified content. Content template. A template that determines content structure and controls the content creation process. ContentCenter Professional administrators configure and maintain content templates. When you select a content template, a blank version of it appears on your screen so that you can create content items. Content item. The information you enter in a blank content template. Content items are stored in locations you select within the templatedata/content_category/content_type/data folder in your workarea and are available for you and others to recall and use as necessary. For example, content items for a press release might be saved in: workarea/templatedata/intranet/pr/data Note: Content items were previously known as Data Content Records (DCRs) or form entries. Content templates were previously known as Data Capture Templates (DCTs) or forms. Content items and content templates may be referred to as forms and form entries at various places in the user interface. l l Get Latest. Brings staging area content that is different from the workarea content into the workarea. Job. A set of tasks assigned to one or more people. All jobs are based on workflows. When you start a job, you specify who should perform each task and then you initiate the job. Each person assigned to a task is notified through the Workflow tab, Tasks view (and optionally through email) that there is a task to perform. After a task is completed, the job proceeds to the next task in the sequence.
