MEMORANDOM DATE: January 00, 2010 TO: Mr. Orendorff FROM: SUBJECT: Analysis of Chapter 12 Objectives Chapter 12 discusses completing reports and proposals, which is the third step and final step in preparing reports and oral presentations. Conversed in this chapter are the four major tasks involved in completing business reports and proposals, the explanation of how computers have both simplified and complicated the report-production process, and the description of the three supplementary parts of a formal report. In addition, this chapter explains the difference between a synopsis, an executive summary, and the difference of the prefatory parts of a proposal depending on whether the proposal is solicited or unsolicited. Moreover, this chapter identifies the circumstances in which you should include letters of authorization and letters of acceptance in your reports. THE FOUR MAJOR TASKS INVOLVED IN COMPLETING BUSINESS REPORTS AND PROPOSALS ARE THE FOLLOWING: 1. Revising your reports and proposals means to evaluate the organization, style and tone and making sure what needs to be said is said in a clearly organized format fitting the audience’s needs. You must make sure sentences and paragraphs are short with headings, subheadings and bullets that make the report attractive and easy to read. 2. Producing your reports and proposals incorporates design elements such as white space, headings, captions, margins, justifications and typographical devices as well as visuals like charts and graphs. Computers have made visuals easier so the audience may
