CHAPTER 19 NOTES Writing Application Letters and Other Employment Messages Accompanying your résumé with a cover or application letter lets readers know What you’re sending Why you’re sending it How they can benefit from reading it The purpose of your cover letter is to get the reader interested enough to read your résumé, so Learn something about the organization you’re applying to Focus on your audience so that you can show you’ve done your homework Show how your background and talents will solve a particular problem or fill a specific need the company has Address your letter with the name, title, and department of the person you’re writing to In your cover letter you should Be specific Never volunteer salary information unless an employer asks for it Keep it short—and keep e-mail cover letters even shorter Show some personality Aim for high quality A solicited application letter is in response to an announced job opening. An unsolicited application letter is sent to an organization that has not announced an opening. Both solicited and unsolicited application letters present your qualifications similarly, but the opening paragraph differs: Solicited letters require a special attention-getter because you’ve been invited to apply. Unsolicited letters require you to capture the reader’s attention and interest. Use the AIDA approach for unsolicited application letters. In the opening of an unsolicited application letter, try to Focus on your audience Emphasize reader benefits Project confidence

Clearly state your reason for writing Give the recipient a reason to keep reading Use the subject line to get the employer’s attention To build interest and increase desire in the middle section of your application letter, try to Present your strongest selling points in terms of their potential benefit to the organization Be careful not to repeat facts presented in your résumé (create a more rounded picture of your potential to contribute to the organization) Back up your assertions with some convincing evidence of your performance Discuss each requirement specified in any advertisement Demonstrate a few personal characteristics (diligence, willingness to work hard, ability to learn quickly, skill at handling responsibility, aptitude for getting along with people) Mention salary requirements only if the organization has asked you to state them Refer the reader to your résumé by citing a specific fact or general point covered there To motivate action Ask readers for a specific action (for an interview) Try to sound natural and appreciative Offer to come to the employer’s office at a convenient time Make a reply easy by clearly stating contact information and the best time to reach you Mention that you will follow up with a phone call in a few days Refer again to your strongest selling point Refer to your date of availability When filling out an application form, remember to Be thorough and accurate
