CHAPTER 5: COMPLETING BUSINESS MESSAGES TEST YOUR KNOWLEDGE (p. 140) 1. The four main tasks in completing a business message are to revise your message to achieve optimum quality, then producing, proofreading, and distributing it. 2. Before proofreading another’s work remember that your job is to help the other writer succeed and not to impose your writing style or pursue your own agenda (unless, of course, you have been evaluating someone’s work, recognize the dual responsibility that doing asked to do so). Second, make sure you understand the writer’s intent before you begin suggesting or making changes. 3. Parallel construction involves using the same grammatical pattern for two or more similar ideas. The writer makes the message more readable by repeating the pattern to (1) signal readers that the ideas discussed are comparable and (2) make your writing easier to read. Writers can achieve parallel construction by repeating the pattern in words, phrases, clauses, or entire sentences. 4. White space provides contrast with the text, giving readers a resting point as they scan the document and also makes the document feel less intimidating and easier to read. 5. Proofreading is an essential step in completing your message because it is your last chance to ensure the quality of your documents—and to protect or enhance your reputation as a thinker and writer. APPLY YOUR KNOWLEDGE (p. 140-141) 1. Letting a document age lets you approach the revision process with a fresh eye. During the break, you may think of something you should include or exclude. With a fresh perspective, you’re more apt to catch errors or recognize unclear language. And, if you’re feeling angry or emotional, time away allows you to think more logically and remove any emotion from your message. 2. Business messages must be clear so that readers don’t have to work hard to unravel cluttered sentences, won’t be able to interpret a message in more than one way, and won’t lose track of who is talking or when an event took place. It’s also important that business messages flow logically and that all words are used correctly. 3.
