Microsoft Access for Office 2007 Assignment #5 Scenario: Each doctor has his own staff (Physician’s Assistant, Registered Nurse, or Licensed Practical Nurse). 1. Create your last (I promise) table and name it Dr Staffs . 2. Click Create / Table / Table Design 3. The Fields are: SS# Staff First Staff Last Degree Licensing State Part- or Full-Time Dr ID 4. In Design View (descriptions aren’t necessary) limit as follows: a. For now, all fields are data type Text ...no numbers! b. SS# is the primary key . You can just right-click on the field and choose the key or go to Design / Tools / Primary Key . 5. In Field Properties area: a. Licensing State : i. Make NY the default state. ii. Limit the field size to 2 . iii. Make it Required . iv. Make it so that if you enter lower case it will automatically become upper case (put > on Format line) b. Part- or Full - time i. Limit the size to 1 ii. Make it so that if you enter lower case it will automatically become upper case (put > on Format line) iii. Try something new: 1. On V alidation Rule line type exactly this = P or F a. We have just limited the entries in this field to P or F iv. Now, if we type something other than P or F, we want a message to appear that says "You Must Enter P or F" 1. On Validation Text line, type exactly this You Must Enter P or F a. If you type a Z in the cell, “You Must Enter P or F” will appear on the screen! Pretty cool! 6. For Degrees , under the Data Type , choose Lookup Wizard . a. b. In cells, type LPN, RN, and PA c. Click Next / Finish d. Click Lookup in the bottom half of the screen (Field Properties). Row Source should look like this: "LPN";"RN";"PA" e. 7. Be sure Dr ID is Text and limit the field size to 3 8. Switch to Datasheet View a new way. Right-click on the little orange tab that appears over Field Name and choose Datasheet View. When prompted, save as Dr Staffs (no periods allowed in table names!) a. Enter the records that appear on the table that follows. b. Remember, in the Degree field, you can just type the first letter of the degree and press Tab. c. Just press Tab at Licensing State and NY will appear. However, you must type in the other states. If you use lower case letters, they appear as caps because we put the > in the Format line. d.
