COVER LETTER GUIDE Cover Letter DOs and DON’Ts ¾ DO make each letter unique – it can’t look like a FORM Letter/SPAM ¾ DO use BUSINESS LETTER FORMAT for all professional emails and cover letters – BE FORMAL ¾ DO use a professional salutation … “Dear Sir or Madam:” or “Dear Ms. Browne:” ¾ DO use appropriate “Subject lines” and File Names for attachments (ie JuliaBrowneResume.doc) ¾ DO use RESUME Paper for hard copied of Cover Letters, Resume and Reference Sheets. ¾ DO use matching Envelopes either legal size envelopes or manila/white 8 ½ x 11 envelopes ¾ DO make a 1 PAGE cover letter/email !!!!! And read it out loud and PROOF ! DON’T use “To Whom it May Concern:” or “My name is ….” or start every sentence with “I” DON’T use “Dear Ms. Julia Browne:” in salutation only “Dear Ms. Browne” DO FOLLOW UP appropriately with emails and phone calls (in 3-5 days) & Thank Yous within 24 hours BUSINESS LETTER FORMAT: LEFT BLOCK Email/Cover Letter Outline ¾ Format : 1 PAGE business letter- left block ¾ Be in YOUR VOICE – don’t make it sound like a form letter ¾ Spacing = 2 Returns between each section except 4 returns for signature ¾ Use Resume/Bond Paper for hard copies ¾ PRUF, PROF, PROOF YOUR LETTER!!!
