Prewriting Technique Tone: The tone for this message will be very professional and respectful. I will be relaying a negative message, so I want to keep the message upbeat. That way I will not dwell on the news that is being delivered. Dear Respected Clients, I would like to begin by thanking each and every one of you for your interest in my company’s services. We have been working very hard so that everyone will receive the benefits of our products. We are looking forward to completing this job for you all, and then doing future business with all of you. We are very proud of our ability to be well recognized by domestic and international clients. Our reputation for doing business as easily and effectively as possible has grown further than we had ever imagined, but has been welcomed by all as a wonderful blessing. With all of this being said, it is now that I will explain that with all good things there are always minor setbacks. We have been working very hard on the production of our newest widget. I am sad to report that even though our efforts have been extremely dutiful, it appears that we will need our production cycle slightly behind schedule. This is caused in most part by my company’s dedication to insuring that you all have quality you deserve. We absolutely refuse to send out anything that is less than 110% the best on the market. I rest assured that all of you would expect nothing less from us, or any other company that you do business with at any time. It is not my job to sit here and make up excuses as to why this has
