MEMORANDUM TO: Joe Schmoe, Vice President of operations FROM: Marc Krishke, Director of Information Technology DATE: December 2, 2010 SUBJECT: Upgrading TCA’s Computer Systems The following is the report in which you request regarding the need for a computer system update. It has become apparent that the information processing tasks are impeded by the outdated computers utilized by TCA. In order to solve this issue, TCA must upgrade their computers as soon as possible. After TCA makes the recommended upgrade, measures should be taken to not only ensure a smooth transition, but also determine that the upgrade solved the original problem. It is recommended that TCA upgrades the outdated computers to Gateway computers. This was determined using a cost benefit analysis comparison among the following three companies: Apple, Gateway, and Hewlett Packard. In addition to the cost benefit analysis, a survey was utilized to determine which of the three companies individuals preferred. Both the cost benefit analysis and the survey conclude that Gateway is the best choice for TCA's upgrade. This hardware purchase, however, is only the first step in TCA's upgrade. In order to ensure that employees transition smoothly to the new equipment, employee training programs should be organized. Individuals should be brought up-to-date on the new equipment in case someone isn't familiar with it. In addition to this, someone should be available at all times to help employees if they have questions during their day-to-day tasks. Lastly, TCA needs to develop a monitoring system in order to determine whether the upgrade was a success. Has productivity increased? Was the objective met? Those who participated in the survey as well as the authors which provided numerous amounts of research for this report are appreciated.
