Contents and Format of Long Business Reports Contents : Cover letter Also called a transmittal document If outside the organization would use a letter; if inside would use a memo Title page Arrangement of authors’ names Table of contents Wording should be the same as the headings used within the body Usually, only two or three levels of headings are included in the table of contents even if more levels occur in the body of the report Page numbers identify where the section heading appears even though it may comprise many pages Executive summary Also called an abstract or synopsis Is a condensed version of the body of the report Is often read more carefully than the report Should be short (suggested length: no more than 10% of the length of the report) Is a “mini-report” that gives the purpose of the report, the objectives of the report, a summary of the findings or conclusions, and the key recommendations Report References Not used in every report Forms of documentation: Endnotes: use superscript (raised) numbers to identify secondary sources in the text, then provide the actual citations in the numbered list entitled “Notes” at the end of the report 1
