The initiation activities including the setup of the project SharePoint site are setup and the
project charter developed and signoff obtained as of June 7, 2011.
The contract for the project
is approved based on a fixed fee budget of $900,000 including contingency and fee for
administering the project. The work breakdown structure is created based on five phases –
Initiation, Planning, Execution, Monitoring and Control, and Closing. Each of the phases for the
project is carefully budgeted to cover all costs for the scope work deemed for that particular
phase to make up the budget as whole. It is imperative to budget per phase to contain the costs
to a phase in the case of a risk event taking place.
The contingency are to be used for risk
events if they should occur and any capital remaining from the contingency is to be distributed to
Team-A, in addition to the final payment.
If the contingency is completely depleted and a risk
event occurs then the costs are shall be covered from the final payment (profit) for the project.
For all work that is added to the scope of work from the client it shall be paid through a change
order (this type of work is considered extra cost) and depending upon the nature of the work an
extension of the schedule may be requested within the change order as well.
Within the planning phase, and with input from the project team, the development of the project
management plan is completed.
The Plan includes planning assumptions and decisions,
communication plan among stakeholders, and approved scope, cost, and schedule baselines.
The high level project schedule is planned and approved for a start date of May 31, 2011
through to a completion date of March 14, 2012 for the duration of 207 days which equals to
Within the execution phase, all of the procurement for the hardware and
software are planned to occur, as well as the launch of the website.
Monitoring and control are
to occur throughout the project life cycle to identify and remove any variances that may become
an issue or impact to scope, budget, schedule, and quality.
The closing phase includes the turn
over of the system operationally to Service Construction, Inc. with the warranty in effect for the
new system; and the close off of the SharePoint site.
Final payment for the project deliverables
