A database is an organized collection of related data. The computer application used for creating a database is called a relational relati database management system (RDBMS ) What is a Database? Examples of a database: The Your iPod playlist iPod playlist Your CD collection The A Developing a Database Schema The "relational" in RDBMS means that each table is related to at least one other table by a column of data. address book on your computer telephone book recipe book Database Database Fields Within a table, fields store data. Access displays a table in a datasheet, which organizes fields into columns. Each field has a name and a type. 1 6/14/2010 8:59 AM The Primary Key Creating Creating Tables and Fields A record is a set of data for the fields in a table. The records in a datasheet are organized into rows, one record after another. To ensure that no two records in a table are the same, one field in each table is designated the primary key. The Primary Key To complete a table, designate a primary key. Simple Form A simple form shows the data for one record. Creating Forms A form is a database object used for entering records into a table and for viewing existing records. Many different kinds of forms can be created and each can be customized. Split Form A split form shows individual records and the corresponding table. 2 6/14/2010 8:59 AM Multiple Items Form Formatting a Form Use the Format tab to format a form. A multiple items form shows records in rows. Record Controls Check Spelling After adding records to the database, click Home > Spelling to check the spelling of all the entries. Record controls are displayed at the bottom of an open form and are used to display a specific record. Datasheet View Datasheet view displays a table in a datasheet where fields are in columns and records in rows. Formatting a Datasheet Formatting can improve the readability of a datasheet. Use the Home tab to apply formats. 3 6/14/2010 8:59 AM Sorting Records Filtering Records When a filter is applied, records that do not meet the specified criteria are hidden from view until the filter is removed. Previewing and Printing a Database The Print Preview tab contains options for adjusting the page layout and printing the database. Importing Importing Data One way to populate a database is by importing data from an existing file. Excel files and text files are two file types supported by Access for importing data. Imported data can be appended, or added, to an existing table, or used to create a completely new table. Updating and Deleting Records To delete the active record, click Home > Delete > Delete Record.
