E. 1/11 SAD Chap1 Chapter 1 : Fundamentals of Information System Chapter Contents Meaning and role of an Information Systems Definition and Concepts Introduction to Information System Types of Information Systems Chapter Objectives: After completing this chapter, you will be able to: Define system, data, information & IS Describe the concepts of systems Identify types of Information Systems 1.1 Meaning and Role of an Information Information is very important part of any business, which helps the managers to take decisions. The data flows throughout the organization and makes it active. There are lots of data available in the business, at every time a transaction takes place (Ex. a sale), some data is recorded. It could be recorded on paper or in a computer system. The difference between data and information Data are raw (unprocessed) facts about people, objects, events in an organization (Ex. all the sales orders for the year) Information is data that have been processed and presented in a suitable form for human interpretation. (how many of each product were ordered in each month, may be shown on a graph) Characteristics that make information useful are the following: Relevance: It reduces uncertainty by helping you predict what will happen or confirm what already has happened Reliability: It’s dependable, i.e., free from error or bias and faithfully portrays events and activities. Completeness: It doesn’t leave out anything that’s important. Timeliness: You get it in time to make your decision. Understandability: It’s presented in a manner you can comprehend and use. Verifiability: A consensus notion the nature of the information is such that different people would tend to produce the same result

E. 2/11 SAD Chap1 Accessibility: You can get to it when you need it and in a format you can use. 1.2 Systems Definition and Concepts A system is a set of inter related elements, or components that collectively work together within a boundary to achieve common purpose or goal. It is a collection of parts that work together harmoniously only to achieve specific goals. A system normally has subsystem and function within an environment. Each component of a system has specific function but the result of each component functions should be directed toward achieving the overall objective of the whole system. But if a component fails to operate as it was intended, the whole system will face a problem and does not operate smoothly. This interdependency of system components will lead us to a terminology (concept) called Systems Concept. For example if the finance department of an organization fails to operate smoothly, then the personnel, purchasing and production department of that organization do not function properly, which again affecting the overall organizational performance.
