   MEMO June 10, 2005 TO:  ALL STORES RE:  EMPLOYEE PURCHASES AND HOLDS With the recent hiring of new management, I just want to remind all managers of the  employee holds policy and process of ringing out employee purchases. 1. HOLDS:     Employee holds are limited to 5 per pay-period and can only be put on hold for  14 days  OR until the next upcoming payperiod. All holds MUST be written up BY THE MANAGER ONLY in a Sales Receipt       book that is Strictly for Employee Purchases with a description of all items.  All   hold tickets must have a “EXPIRATION DATE” WRITTEN ON THEM  . A separate  sales receipt book Should be kept for Customer Merchandise Credits.  Do not  combine them in the same book. After they are written up the Manager MUST secure them with a rubber band  around the hangers and attach the PINK copy of the Hold Ticket to the hanger  (use a paper hole punch for this).  Then they are secured inside of a LARGE  CLEAR PLASTIC bag and put into the back office or Back Room until  purchased. The White and Yellow copy of the Sales Receipt book is kept in a locked file box  until ready to purchase. All Employee Purchases MUST be rang out by the STORE MANAGER ONLY.   Managers can have their Asst Mgr or 2 nd  Assistant Mgr ring them out.  Keyholders who are NOT members of Mgmt are NOT allowed to ring up  employee purchases.   MANAGERS MUST AUDIT EMPLOYEE HOLDS EVERY PAY-PERIOD .  They should check for the  following 2 criteria 1. All items written up on the HOLD TICKET are still intact in the HOLD bag.
