Communication Basics for Any Professional Correspondence Regardless of the type of correspondence, each should follow the same format of Professional Writing and include: Heading YOUR address and contact information It’s not necessary to include your name, that will be included at the end of the letter Date The date that you will send it, not necessarily when you wrote it Use a full date format (ie, October 11, 2010) Inside Address THEIR name, position, company, and address Be specific when possible Salutation This should always be “Dear, “ and not “To: “ Whenever possible, you should address your letter to an actual person. Try to find out who will be reading the letter. At the very least, look up the director of human resources and address it to that person. Be sure to address the person formally: Mr., Ms., Mrs., Dr. and to leave out their first name (i.e. not Dear Ms. Jane Nevermore) Please note that these days women are always addressed as Ms. (never use Mrs. on a business letter unless you specifically know the individual). Body The body of the letter should be left justified New paragraphs are not indented and there should be spaces between each paragraph. Use sincerely or cordially, most others sound forced After the closing leave three blank lines for your signature (even if emailing the document) and remember to actually sign the hard copies!
