The owner of the Agenda must first give Designate Access Rights to their agenda. There are three levels of access that can be assigned to the agenda: Modify : allows you to create, edit or modify the users agenda entries View/Reply : allows you to view and reply to entries on the users agenda View times only : allows you to view the users busy times Opening an Agenda as Designate When you want to work on someones agenda, you need to use the menu option to open an agenda as a designate. Opening an agenda as designate note: you can use the keyboard shortcuts in lieu of using the menus. Windows, use CTRL+D; Macintosh, use SHIFT+Command+O Chapter 1 U M C A L A D V A N C E D T O P I C S W O R K I N G A S A D E S I G N A T E 4 If you are the designate for only one person, the agenda will automatically open. If you are a designate for more than one person, you will see a list of people and you can select the agenda you wish to open. When you are working in another persons calendar as a designate, the title bar will have the word designate after the persons name. Designate indicator in title bar U M C A L A D V A N C E D T O P I C S W O R K I N G A S A D E S I G N A T E 5 Replying to meetings in a designate agenda is identical to the method you use when working in your own agenda. 1. Double click an entry 2. Click on the Reply button 3. Select the option from the Response drop down menu U M C A L A D V A N C E D T O P I C S W O R K I N G A S A D E S I G N A T E 6 Creating a Meeting as Designate When you schedule an event in someones agenda while working as a Designate, the Proposed by field will have your name followed by the name of the owner.
