Chapter 20: Things to Check before Sending an Excel Spreadsheet You can be the best user of Excel in your office, but one minor mistake may change what your co-workers think. Every time you send an Excel spreadsheet to someone, think of it as a piece of art. One major or minor flaw in a painting stands out. The spreadsheet is the same idea! You may know how to create a macro, pivot table or a VLookup function, but if you forget about one of the items below the spreadsheet (painting) will be flawed. Every spreadsheet you create, keep in mind that the C.E.O. or C.F.O. of your company may get the spreadsheet forwarded to them. Here are some things you should check for before sending out the spreadsheet. Formatting - A rule of thumb is that a spreadsheet should be easier to read than a PowerPoint slide. - From the start, select a standard format for text, numbers and other types of data. - Create a summary tab to help the users easily find relevant facts and figures, or for smaller spreadsheets summarize on the top of individual sheets. - Color coat, organize and define your tabs on the summary tab to help the user navigate the spreadsheet. - Use freeze panes (Located on the View Ribbon) to keep column headers and summary data on the top of the screen. - Use different types of borders ( ) to effectively space out and separate data. - Design the spreadsheet to grow with time. Some spreadsheets will need additional information added to them in the future. If the spreadsheet is too wildly it will take several hours to add a small amount of data to the spreadsheet. -
