Business Continuity – The system is designed with mirrored systems for system failover. The architecture review will confirm redundancy for the e-Procurement and Strategic Sourcing Modules. GSD is currently working on a Business Continuity document that will identify manual processing procedures. GSD is dependant on the DoIT Disaster Recovery Plan for SHARE. Back-ups – GSD will follow SHARE schedule for back-ups. Tapes will be stored off-site and archived. MAINTENANCE STRATEGY Systems Maintenance will follow SHARE’s operations maintenance plan. All changes that change the functionality of the modules will be in accordance with the SHARE Change Management Policy. INTEROPERABILITY SHARE has been designed for interoperability within the Simms Data Center infrastructure. P AGE 12

GSD will confirm that State Purchasing Record Retention rules listed below are covered under the SHARE rule. [State Purchasing] 1.4.1 NMAC Procurement Code Regulations (effective 9/30/05) 1.4.2 NMAC Resident Business and Manufacturer Preferences (effective 11/30/01) 1.4.3 NMAC Resident Contractor Preference (Effective 11/15/01) 1.4.7 NMAC Suspension or Debarment of Bidders Offerors or Contractors (Effective 11/30/01) 1.4.8 NMAC Use of Competitive Sealed Proposals for Construction and Facility Maintenance, Services and Repairs ( Effective 9/30/05) CONSOLIDATION STRATEGY The system will consolidate multiple excel spreadsheets and access databases. The modules will be implemented on the State’s SHARE ERP system. This is in direct support of the Governor’s Executive Order 2004-014 -CONSOLIDATING AGENCY INFORMATION TECHNOLOGY OPERATIONS AND GOVERNANCE. 3.0 PROJECT/PRODUCT SCOPE OF WORK 3.0 PROJECT/PRODUCT SCOPE OF WORK The scope of this project will include reviewing and documenting the current SHARE system procurement functionality and state of implementation; identify the functionality of the uninstalled SHARE modules for impact to SPD procurement and performing analysis of the SPD business process. The data will support the gap-analysis and identification of additional modules and or modifications to the current procurement process to achieve an efficient system. The scope will include development of priorities and a workflow design to configure and implement Strategic Sourcing and e-Procurement module functionality to automate business process requirements for Solicitation Release and Vendor Notification processing. The Project Charter for Certification is used to provide the Project Certification Committee with adequate knowledge of the project and its planning to certify the initiation phase of the project
