Data processing The routine processing of day-to-day transactions. Data processing systems perform the essential role of collecting and processing the daily transactions. They are necessary to ensure that day-to-day activities of the organization are processed, recorded and acted upon. Files maintained provide both the current data and serves as a basis for tactical control and answering enquires. It includes database systems, spreadsheets etc. End user computing The use of computers by end users. The direct hand on approach to computing by users. Some applications of end user computing are:- 1. Decision support systems- these support managerial decision making 2. Expert systems- these represent the most advanced stage of DSS. They are computer programs that simulate the decision making process of human experts. They enable non-experts to achieve comparable performance to an expert in the field. 3. Executive information systems- a form of data retrieval system that provide selected and summarized information for senior executives. That is, information on critical areas of the organization drawn from internal and external databases. A typical case in which they operate is by exception reporting and drilling down to investigate the causes e.g. a manager may be alerted that a certain department is well over budget. Applications of IT in communication The Facsimile transmission Fax machines send documentary information electronically over the telephone lines. A fax machine accepts printed-paper documents and passes them over an electronic scanner to produce a duplicate either immediately or after a timed interval. The transceiver transmits the duplicate to the fax address entered as part of the fax transmission (the destination of the fax transmission is another fax machine located almost anywhere in the world and

68 served by telephone lines, cables or satellite networks). The receiving fax machines decode the sent signals to precisely the same patterns of text and images of the original and prints it out. Features of fax transmission Delayed transmission- in order to save time and avoid busy peak transmission times, most fax machines allow users to stack messages for onward transmission until pre-determined transmission time. At the appropriate time a timer is activated to set the transmission sequences into operation. Status reporting- a useful feature of fax transmission is the issuing of a status reports which lists the no of calls made, their date, time and transmission duration, their destination and the number of copies sent. Some fax machines store the documents they receive and only release to password holders. This caters for confidential documents ensuring they are save from unauthorized receivers.
