EXECUTIVE SUMMARY, EVALUATION, AND PLAN 17 3.2 Dependencies (External and Internal) Managers communicating the new process to new hires would be a dependency because the process won’t be successful without it being properly communicated. The Security badge system is a dependency as it would have to be up and functioning on a regular basis in order for the process to be tested and/or work successfully. Another dependency would be the manual form, as it can be used if the electronic badge system goes down. It must be readily available to managers to distribute as a backup. 3.3 Assumptions Changes to processes and forms sent from Corporate Security should be communicated ASAP. Communication between team members and myself should be critical to improve efficiency of this project. There should be regular check-ins with the sponsor to see if the project needs to be tweaked. 3.4 Constraints A constraint could be if the Security Badge System goes down, it may take weeks to have serviced, which will delay the actual badge to be printed out. Another constraint could be if ATL Security Admin Team do not send out the latest version of the request form, this can cause a delay in new hires getting their badge. An important constraint is if hiring managers do not communicate the process to their new hires, this can also cause a delay in getting the badge process completed. 4 . EXECUTIVE SUMMARY, EVALUATION, AND PLAN 18 5. Project Approach 5.1 Change Management The security team will prepare, support and assist the hiring managers in making the organizational change. The Executive Assistant will be the liaison between the security team and hiring manager when there is a breakdown in communication and/or a badge has not been distributed. The hiring managers will be sent an email as to how the new badge procedure would work and will be asked to share it with the new hires along with the link to sign up for the new badge. If the badge has not been distributed within the 2 - 3-day timeframe, the hiring manager should reach out to the security team and copy the executive assistant to see what the holdup is until they reach a resolution.
