End UsersAn end user can be a very broad audience within itself as each individual will vary inregards to technical experience. Some users may need very detailed information that is brokendown to step by step instructions on how the system operates, their required tasks on how tointeract with the system, and how it affects their job role. Other users may be more technicallyinclined and require minimal documentation regarding system functionality or procedures. Forexample, a novice that may be unfamiliar with technology would need a user guide that detailsevery step needed to complete a transaction or activity. In contrast, a user that is more advancedcould attempt to resolve their own issues and use the software for multiple purposes and coulduse a reference manual that elaborates on how the software is setup and configured (M.U.S.E.,n.d.). Comparing end users with other audiences would follow a similar approach to stakeholderdocumentation practices as technical jargon should be avoided to prevent users from beingconfused and could be considered unnecessary. In contrast, the end user would likely not be asinterested in any cost savings analysis and some reportable metrics, due to the fact that theirscope may be more limited in responsibility and job function. The user document for thisaudience will be the Student Information System (SIS) user guide, which will provide insight asto what procedures are to be used with interacting with the system for the best user experience.
IMPLEMENTATION OF IT ACADEMIA SIS45DevelopersThe final type of audience that will be addressed in this section who may require userdocumentation would be a developer/code writer. It is quite vital knowing how to be able tocommunicate between developers and other audiences as any mistranslations between the partiescould result with a catastrophic outcome. Gathering user requirements during the elicitationprocess helps define the project scope and establish what functionalities the system must containin order to be implemented successfully. User documentation for a developer audience mayinclude UML diagrams, flowcharts, use case/test case scripts, etc. In the instance of comparingthe writing of documentation for a developer, technical jargon would actually be more preferredas vague information could be misconstrued and cause incorrect modules or applications to becreated. Utilizing similar documentation procedures like for end user audiences could slow downthe project or even be considered insulting if the material is too elementary and obvious to thedeveloper.Overall, there are a variety of audiences that must be considered when attempting to writeuser documentation. This segment reviewed three commonly targeted audiences that userdocumentation is typically created for. Stakeholders, end users, and developers all play asignificant role with the implementation of the Student Information System, and should almost
