The Jancyn Replacement Project Workgroup will maintain a schedule of biweekly meetings to communicate progress, risk factors, or any other necessary feedback for the workgroup. All workgroup members, subgroup members, project owners and others who have expressed interest are included in the email cc list for meeting agendas and meeting notes. If a particular meeting is not needed, it will be canceled. The workgroup will maintain a share drive for collaborative work, accessible only to authorized users. The Project Manager, in consultation with the Project Stakeholder, will decide if the issue should be reported to the full Workgroup. If so, the collaborative share drive will be used to describe and track issues. For project work to continue efficiently, issues are to be resolved through discussion amongst each team’s members or through consultation with the Project Manager. Potential issues include testing results, unexpected problems, and other items that impact project completion.Project Plan Documents SummaryAll significant electronic project documentation will be uploaded to the collaborative shared drive. Teams will determine when a document is complete and sufficient for inclusion on the shared drive.
